Centre for Diplomatic Advancement values our visitors’ and partners’ personal information and understands the need for security and trust regarding this information. The Centre for Diplomatic Advancement (hereinafter referred to as “CDA,” “we,” “our,” or “us”) provides this privacy policy which describes the types of information we may collect from you or that you may provide when you visit the CDA website located at www.thecda.co, subscribe to our mailing list, or partner up with CDA, and our practices for collecting, using, protecting and disclosing that information. CDA may work with selected third parties to provide certain features on the Website such as social sharing functions. This privacy policy does not govern any information you choose to provide directly to such third parties. Such third parties have their own privacy policies that govern how they may collect, use, and disclose the information that you provide.

1. Application fee for Fully Funded Delegate are totally non-refundable & non-transferable in any case.
2. Personal information you submitted will be stored in our database and will be to communicate and for future promotional activities.
3. During the event our media team will be taking a lot of pictures and videos which we can use for promotional purposes on any platform, if you wish to not appear in any pictures, videos or interviews you may email us at communications@thecda.co
4. Delegates for our events will have to abide by rules and regulations of the venue, host organization and country.
5. The host organization if at any unfortunate scenario or condition can cancel, amend or postpone the event or can also change the venue. If a force Majeure happens, refunds and reimbursements will be made as per the CDA refund policy.
Selection for the Fully Funded Delegate will be determined by the panel of independent judges and it cannot be challenged.

INFORMATION COLLECTION & USE

When using our site, you may voluntarily provide “personal information” that identifies you as an individual, including your name and contact information. We may use the personal information that you provide for our operational purposes, including the activities described below, but CDA never shares or sells individual information. We may also use the information that you provide to contact you with offers or items that may interest you. When you choose to provide us with personal information, we may combine it with other information about you that we receive from third parties.

REFUND POLICY

REFUND ELIGIBILITY: 

Refunds will only be issued in the form of credit vouchers, exclusively applicable to future conferences or events organized by us.

The refund policies vary for each category and are outlined as follows:

FULLY FUNDED/PARTIAL FUNDED DELEGATES: Registration fees for these categories are non-refundable and non-transferable.

SELF FUNDED DELEGATES: Delegates under the self-funded category, who have paid their registration fees but couldn't attend the event, may receive a CDA Credit Voucher under the following conditions:

  • The delegate has paid the entire conference fee in a lump sum.
  • The delegate has submitted a request for a CDA credit voucher via email, 45 days before the conference.

CDA CREDIT VOUCHER / CCV: To obtain your CCV, please contact our team via email. CDA credit vouchers are valid for one year from the date of issuance and can only be used for CDA events. If a delegate has paid only the first installment of the full conference fee, the CDA Credit Voucher Policy does not apply, and 100% of the first installment will be retained as a cancellation fee.

Delegates requesting a CDA credit voucher via email 30 days prior to the conference will be charged a 50% cancellation fee, with the remaining amount refunded in the form of CCV. 

For requests made 15 days prior, a 75% cancellation fee applies, and for requests made less than 15 days prior, a 100% cancellation fee is charged, considering them as no-shows.

REFUND PROCESS: To request a refund, email communications@thecda.co with the subject line: “Refund Request – [Conference Name].” Include the following information in your email:

  • Full Name
  • Order Number
  • Reason for Refund Request
  • Supporting Documentation (if applicable)

CDA CREDIT VOUCHER TERMS AND CONDITIONS:

  • Redemption Period: Credit Vouchers are valid for one year from the date of issue.
  • Non-Transferable: Credit Vouchers cannot be transferred and are only for the original recipient.
  • No Cash Value: Credit Vouchers cannot be redeemed for cash.
  • Partial Redemption: If the voucher value exceeds the conference registration cost, the balance is carried forward.
  • Usage Limitation: Vouchers can only be used for CDA-organized conferences.

Special Circumstances:

  • Force Majeure: In events like natural disasters or acts of terrorism, refund requests will be reviewed case-by-case.

By registering for a conference through CDA, you acknowledge and agree to this refund policy.

TRAVEL REIMBURSEMENT POLICY FOR FULLY FUNDED DELEGATES: After attending an event, Fully-Funded delegates will receive a form to provide basic details and bank account information for reimbursements. The processing time for reimbursements is 4-8 weeks.

Invitation Only Category:

The registration fee paid for getting the invitation letter is non-refundable. Getting visa is sole responsibility of the delegate. Institute will only provide an invitation letter for visa assistance.

AUTOMATICALLY-COLLECTED DATA

We and our service providers may use various technologies to collect data automatically about your use of our Website. We use this automatically-collected data for our operational purposes such as to administer and improve the site. We also use these technologies to personalize your experience with CDA. The technologies that we use may include, for example:

  1. Log Files, which may collect information such as Internet protocol (IP) addresses, browser type, geographic location, Internet service provider (ISP), referring/exit pages, operating system, date/time stamp and clickstream data.
  2. Persistent and session cookies.
  3. Flash cookies (or local stored objects), which are not managed by the same browser settings as are used for browser cookies.
  4. Web beacons, which may be embedded in our Website or used in HTML-based emails and newsletters to help measure the effectiveness of our electronic communications. If you would prefer to receive newsletters that do not contain such technologies, you can request text-only newsletters.

Your browser may offer tools to reject or delete cookies. If you reject cookies on your browser, you may still use our site, but your ability to use some areas of our site may be limited. CHILDREN UNDER THE AGE OF 13

Our Website is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. COMMUNICATIONS FROM THE WEBSITE AND YOUR CHOICES

If you provide your contact information, including by subscribing to our mailing list or asking to receive other materials, we will use your email address to send the requested materials. We may also send emails notifying you of other newsletters and materials that may be of interest to you. If you make a donation through the Website, we may contact you for our fundraising and development purposes using the email address that you provide.

Choice/Opt-out

Newsletters and Promotional Communications: We provide you the opportunity to opt out of receiving newsletters and promotional email communications from us. If you no longer wish to receive electronic newsletters and/or promotional communications, you may opt out of receiving these communications by following the instructions included in each newsletter or communication. After you opt out, we may continue to send invitations to donate to CDA unless you opt out separately from donation invitations as described in the paragraph below.

Donations: CDA may use your personal information to invite you to donate to us. If you prefer not to receive such correspondence, you can opt out by emailing info@thecda.org (Please note that opting out of donation emails will not affect your other CDA subscriptions, as each subscription is handled individually).

INFORMATION SHARING AND DISCLOSURE

Aggregate Information

At times, we share aggregated demographic information about our user base with selected thirdparty partners. We may also share de-identified information in our discretion. This aggregated or de-identified information does not identify individual users.

Visitor’s & Partner’s Personal Information

  1. To our subsidiaries and affiliates.
  2. To contractors, agents, or service providers that we use to support our business and provide our services, in which case we make reasonable efforts to ensure that they are bound by contractual obligations to keep personal information confidential and use or share it only for the purposes for which we disclose it to them.
